The Controller of Examinations (COE) office at R.M.K. Engineering College plays a pivotal role in managing the entire examination process. The activities are systematically organized into three well-defined phases – Pre-Examination, During-Examination, and Post-Examination – ensuring that the conduct of examinations remains smooth, transparent, and efficient while upholding academic integrity.
Pre-Examination Phase
This phase focuses on planning and preparation. Activities include student enrolment, scheduling internal assessments, and collecting examination fees for end-semester examinations. The exam timetable is prepared, and comprehensive arrangements are made for both theory and practical exams. Key task includes procuring examination stationery, printing answer booklets, setting, scrutinizing, secure printing and packing of question papers.
During-Examination Phase
This stage ensures systematic and fair conduct of exams. It involves issuing hall tickets and attendance sheets, appointing examiner panels, and coordinating with external examiners from reputed institutions. Practical exams are conducted as per schedule. For theory exams, AUR is appointed by University, Chief Superintendents, invigilators are appointed by the COE, seating arrangements are finalized and exam halls are prepared. After each session, answer scripts are securely collected, bundled, and handed over to the Deputy COE. Malpractice cases, if any, are addressed by the designated committee to uphold integrity.
Post-Examination Phase
The final phase focuses on evaluation, result processing, and certification. Dummy numbers are allotted to maintain anonymity, and valuation is conducted online using the CodeTantra platform. Marks are uploaded through the in-house RMKXAMS portal, and results are consolidated and reviewed during the Result Passing Board meeting before publication. Post-processes include result publication, issuing photocopy of answer scripts, handling review applications, issuing grade sheets, forwarding details to Anna University for degree and provisional certificates, and preparing for Graduation Day.
CodeTantra Platform
The CodeTantra platform enables online end-semester valuation. Answer scripts are scanned and uploaded and valuated with both internal and external faculty participating in blind double valuation. If the mark variance exceeds 15, a third valuation is conducted by another external examiner and the results are processed in the portal to ensure high accuracy and fairness.
RMKXAMS Automation System
RMKXAMS, the college’s in-house automation platform, supports the digitization of the entire examination lifecycle. It manages critical functions such as student enrolment, faculty course allocation, attendance tracking, internal assessments, and exam fee collection. Hall tickets are automatically generated through the system. During internal assessments, attendance is recorded in the portal, reports are generated in ISO format, and faculty enter marks, which are processed to calculate internal assessment scores. Counselors can track fee collection, ensuring financial transparency. In the post-exam stage, the system automates the generation of mark sheets, transcripts, and reports. By streamlining workflows, RMKXAMS reduces paperwork, improves efficiency, and strengthens academic integrity.
